Where we would start
A small business rarely has one neat category of office work. Someone reads a spreadsheet, writes a client update, checks a document and prepares a meeting brief. ChatGPT is worth evaluating across that sequence. OpenAI documents file analysis, code-backed calculations and Projects; feature availability depends on the account and plan.
Our first pilot would be a weekly receivables review. Supply an authorised export with invoice number, due date, amount and payment status. Ask for ageing buckets, duplicate checks and draft follow-ups. Reconcile the grand total before reviewing the wording. This is a suggested workflow, not a measured customer result.
Use it well
Give the task a boundary: ‘Use only this export, list assumptions and return every excluded row.’ Request the calculation method alongside the answer. A clear chart can conceal a wrong filter; inspect the underlying table.
For repeat work, keep the reporting instructions and approved examples together. Do not keep adding contradictory instructions to a long conversation. Record the reporting period and source-file version in the output so a colleague can reproduce the check.
Costs and cheaper models
ChatGPT and the OpenAI API have separate billing. A ChatGPT subscription does not pay for calls made by your business application. API charges depend on the selected model, token usage and applicable tools or storage.
For a custom workflow, compare a lower-cost model with a more capable one on the same examples. Invoice classification is a different workload from interpreting a disputed commercial letter. Keep the cheaper model where it passes your checks; escalate exceptions. Include review time and reruns in the cost per accepted result. Check the linked pricing table rather than assuming ‘mini’ always means lowest total cost.
A custom TEMRIK workflow
TEMRIK can scope a client-specific reporting workflow using OpenAI models through the API: collect approved source records, run the agreed analysis, validate totals and prepare a report for release. Keep arithmetic and business rules in code where the outcome should be deterministic.
Define which records the model may read and which actions require approval. For the receivables example, drafting a reminder and sending it are separate permissions. Store the source references and reviewer decision with the final report.
Where to be cautious
A fluent answer can still misread a column, invent a supporting detail or miss an exception. Ask for source references, then check them. Uploaded documents may contain instructions that should be treated as content rather than authority.
Before connecting company records, review the account’s data controls, access permissions and retention arrangements. Avoid choosing a plan solely because it gives one employee a larger allowance; shared business use also needs appropriate administration.
Alternatives to compare
Include Claude in a comparison for document review and drafting. Have the same reviewer score both outputs for missing facts, unsupported claims and editing time.
Evaluate Gemini if authorised files already sit in Google Drive. Check the permissions and product edition needed before assuming a connected workflow will save effort.
For a stable ageing calculation with fixed rules, formulas may be easier to audit. Add a language model only if the explanation or drafting work earns its cost.
